Families

Passes, permissions, and privacy

Will parents actually use it?

The Professional and Safeguard plans include parent pickup passes and push alerts. Families use a browser; notification permission and centre settings affect delivery. On iPhone, add HandoffCub to the home screen to enable push alerts. The Essentials plan records attendance without a guardian account.

What about grandparents, nannies, and carpools?

The Safeguard plan lets parents add ongoing or one-time backup collectors. Ongoing collectors require centre approval. Staff verify the collector’s code and confirm the photo ID check before release.

What if a parent does not carry a smartphone?

On the Safeguard plan, an authorised backup collector can receive a one-time pickup code. Staff follow the same verification and ID-check procedure. Keep your centre’s approved fallback process available for families who cannot use the digital options.

Do families see each other's information?

A guardian account is limited to the family records linked to it. It does not show another family’s roster or schedule.

Will parents think we are tracking them?

The pickup workflow does not require GPS tracking. It records attendance, pickup-arrival signals and handover actions. An “I’m here” signal is a parent reporting arrival, not continuous location tracking.

How do we explain it in a newsletter?

For centres using the Professional plan or Safeguard plan, explain that the centre will send a welcome link so parents can confirm details and set up pickup access. On the Safeguard plan, they can also add backup collectors. Attendance on the Essentials plan does not require parent registration.

Staff

Training and the pickup desk

How long does training take?

Walk the team through your selected plan before going live. The Essentials plan has attendance controls; The Professional plan adds ready status and pass verification; The Safeguard plan adds collector ID checks and handover reviews.

What if a staff member avoids technology?

Start with the actions your team uses most: find a student, record arrival or departure, and follow the centre’s pickup procedure. Each staff account has only the access granted by the centre.

Does every staff member need an account?

Staff should use their own invited accounts when performing actions that need individual attribution. A shared device can be used, but actions are attributed to its signed-in account, not automatically to the person holding it.

What happens when a new hire starts?

Invite them to the centre with the appropriate role. They complete sign-in using the centre’s configured authentication, then use their own account on an existing device.

Who trains the families?

The Essentials plan does not require guardian registration. On the Professional and Safeguard plans, an owner can invite families to set up pickup access and review their details.

What if staff disagree with what the screen shows?

Staff follow the centre’s handover procedure and can stop a release when something does not match. A PIN, pass, staff review or record does not by itself prove who is physically present.

Pickup routines

Siblings, carpools, and group release

Our pickups are staggered across the whole afternoon.

Staff mark each child ready when their session ends. Parents can report their arrival, and the desk verifies their pickup credential before release.

Two siblings, one car. Is that two scans?

A pickup pass is a credential linked to a family record; it does not prove who is holding the device. Staff review the configured pickup details and follow the centre’s handover procedure before recording a release.

Fridays are a different parent.

Keep the authorised parents on the child’s record. On the Safeguard plan, parents can nominate who is picking up today; ongoing backup collectors require centre approval.

Can we use this to schedule buses or transport?

HandoffCub covers attendance and authorised pickup. Continue using your centre’s transport procedures for bus scheduling, routes and passenger checks.

A child stays for a second class.

Staff can keep a child checked in while they remain on site and mark them ready when they are leaving. A later same-day return can be recorded as another visit.

We have 12 families and no front desk.

Small studios usually run it from a phone at the door or a tablet on a music stand. The system does not care where the screen sits.

Can staff update several children together?

Staff can select multiple roster entries for supported actions, such as marking children ready. Pickup release still follows the plan’s verification and authorisation rules for each child.

Check-in and kiosk

Name search, PINs, and roster import

How does check-in work?

Put a tablet at the door. A child or parent searches their name and taps to check in or out. Every arrival and departure is timed and saved to your attendance record.

Can we stop someone tapping the wrong name at the kiosk?

The Essentials plan supports family PINs or staff confirmation as alternatives to name-only attendance. Rotating pickup passes are available with either the Professional plan or the Safeguard plan. The available kiosk options follow the selected plan and pickup rules.

How do we get our families in?

Upload Excel or CSV, review the detected columns and preview the import before saving. The Essentials plan is ready for attendance without parent accounts. On the Professional and Safeguard plans, you can send parents welcome links for pickup access.

Can staff clock in on the same device?

Yes, when the owner turns on staff attendance at the centre kiosk. Staff enter their own time-clock PIN; this does not sign them in to the staff workspace. Owners can export hours for payroll or records.

What if a child stays longer than expected?

Staff screens show when a child is approaching or exceeding the configured time limit. These warnings do not send an SMS, email or push notification.

Setup

Devices, wifi, and fallback plans

Do we have to buy anything?

No. A tablet or phone with a camera, the wifi you already have, and the guardian contacts you already keep.

Will an old iPad work?

If it runs a modern browser, yes. Since nothing is installed, there is no minimum device generation to worry about.

What if our wifi drops during pickup?

Live validation needs a connection. Follow the centre’s approved fallback procedure and retain any offline notes. Those notes do not automatically become verified digital pickup records.

Can we just use the phone in our pocket?

Yes. Plenty of studios start that way and only add a tablet once pickup hour gets busy enough to need one.

Security and data

Pickup codes, records, and privacy

How do pickup codes stay secure?

A parent’s pickup pass is a QR code with a 6-digit backup code. Both change automatically on a short timer, so a screenshot or a code shared yesterday will not work today.

What about someone a parent sends at the last minute?

On the Safeguard plan, parents add approved backup pickup people who receive a one-time code. Staff also confirm that person’s photo ID before handover. Nothing is photographed or stored.

Who decides when a child can leave?

Staff do. On the Professional and Safeguard plans, staff can mark a child ready and review the configured pickup credential before recording a release. The Safeguard plan also supports a staff photo-ID check for backup collectors. These steps support the centre’s procedure; they do not establish the identity of the person holding a device.

Will it help with licensing records?

Attendance and staff-hours exports are included on every plan. The Safeguard plan adds release and audit records to support inspection preparation. Your centre still needs to review the reports against its own record-keeping requirements.

Is it available in French?

Yes. Staff and family screens work in English and French.

Where does the data live?

Records are kept in the centre’s HandoffCub workspace and are available to authorized centre accounts according to their roles. Connections are encrypted in transit. A full public provider and processing-location list is not yet published.

Do you store photos of children?

The photo-ID step in the Safeguard plan records that staff completed a check; the ID image is not uploaded. HandoffCub does not require families to upload a child photo for attendance.

Can we export records?

Attendance and staff-hours reports support date-range exports on every plan. The Safeguard plan adds release and audit records. Owners can review the available report scope before exporting.

What happens if we stop using it?

The centre owner can export centre records. Before cancelling, ask HandoffCub to confirm the applicable export window and deletion timing; complete public cancellation and privacy terms are still being prepared.

Plans and trial

Pricing, SMS, and switching plans

How does the free trial work?

Every plan starts with 30 days free. No credit card is needed to start, and you can pick or change your plan before the trial ends.

Can I cancel any time?

The owner can cancel a renewal at any time. Access continues through the paid-through date. We do not offer automatic prorated refunds; any rights required by law still apply.

What does SMS cost?

Email is included with every plan. SMS is off by default and there is no free SMS during the trial. On a paid Professional plan, the monthly allowance is 200 segments; on a paid Safeguard plan, it is 500. Allowances reset on the first of each calendar month and do not roll over. Essentials has no included SMS. Canadian prepaid packs are planned (500 segments for CAD 25, 2,000 segments for CAD 99), but pack purchases are not available yet. Longer messages or some characters use multiple segments.

How do free push notifications work?

Parent pickup push alerts are included with the Professional and Safeguard plans. Families enable notifications on a supported browser or installed web app. On iPhone, add HandoffCub to the home screen first. Notification permission and centre settings affect delivery. Email is included with every plan.

Can I switch plans later?

Yes. During the 30-day trial, a plan change updates the available features and keeps the original trial end date. After the trial, upgrades take effect immediately after the owner reviews the charge; downgrades start at the next renewal. Your families, roster and records stay with the centre.

Can I export my data?

Yes. Attendance, staff hours and pickup records export to Excel or CSV whenever you need them, including if you decide to leave.

Which plan do we need?

The Essentials plan suits tutoring, learning centres, art and music. The Professional plan adds pickup passes and ready status for activity and after-school programs. The Safeguard plan adds approved-collector workflows, staff photo-ID checks and release records for childcare and out-of-school care.

Do you offer discounts for more than one location?

Yes. 15% off for 2–4 locations, and 25% off for 5+ locations.
